TOWN OF DEERFIELD 

INVITATION TO BID

The Town of Deerfield is seeking sealed bids for mowing and trimming within the Town of Deerfield.  Mowing and trimming shall include:

 

  • 14 Water Holes & 11 Cisterns (Locations, addresses, and frequency of mowing & trimming to be provided)

 

The Water Holes and Cisterns shall be done on a rotating basis every three (3) weeks, eight (8) sites per week.All water holes and cisterns are to be mowed according to the schedule stated, more frequently during wet seasons, less frequently during heavy drought. Any changes in mowing, trimming or other contracted care to government grounds and buildings will be addressed by the Facility Supervisor.

 

The complete scope of work will be further defined at a mandatory bidder’s meeting scheduled for Wednesday, April 15, 2020 at 9:00 a.m.The visit will begin at the George B. White Building, 8 Raymond Road, Deerfield, NH. Please direct questions or requests for additional information to: Ray Ellis, Facility Supervisor at 603-463-8811, ext. 330. Maps and directions to all contracted areas will be handed out at the meeting.  Bids will only be accepted from bidders who attend the mandatory bidder’s meeting.  The expectation is that mowing will begin at the start of the growing season and end when the growing season is finished.  Any changes to mowing schedule will need to be authorized by the Facility Supervisor prior to the requested change taking place.

 

Bid Submission

 

  • Use “Vendor Bid Form” following RFB, page 2 for all Bids.  Bids shall be submitted according to the format indicated on the form; any bids submitted not using the format will be rejected.
  • Provide proof of current liability insurance with the Bid.
  • Please mark each bid envelope clearly with:

All bids must be received at the Board of Selectmen’s Office by no later than Friday, April 24, 2020 by 2:00 pm.  Mail all sealed bids to “Board of Selectmen”, 8 Raymond Road, P.O. Box 159, Deerfield, NH 03037.

  

  • Bids shall be opened and read aloud at the April 27, 2019 meeting of the Board of Selectmen. 
  • All bids must be made on the Vendor Bid Form.  All bid items must be filled in.
  • No bidder may withdraw a Bid within 30 days of the actual date of bid opening.
  • A conditional or qualified Bid will not be accepted.
  • The Town of Deerfield reserves the right to reject any and all bids.
